I Am Sorry - Letting Down A Client

This week I let down a client due to a lack of organisation on my part. I want to make sure that the same thing doesn't happen again for anyone thinking of coming over to visit properties so I thought it would be right to explain the situation and how it arose. The client got in touch with me about two weeks ago and we discussed by email their requirements along with a couple of skype calls. They are on a first visit with a view to purchasing in March or maybe September. Anyway we agreed to meet in my office at 10am on the 27th of November. It is at that point I made the first mistake. I didn't mark send them a final mail asking for confirmation two days before the visit and I didn't mark it in my calendar as I was on the run. The second mistake was being so busy that this step didn't get done after neither. Therefore the meeting wasn't in my head or on a list. The next I heard was when a lawyer rang me up on the evening of the 28th telling me that he had a client complaining that I had left him stranded the day before outside my office with nobody there. I looked back through the messages and realised my error. I immediately sent an email of apology but obviously I realise that this isn't good enough. Obviously it is my fault so I take the responsibility but a phone call or email to me on the morning of the 27th would have solved the problem. The first thing I do on contacting people is to give them my contact details (mail, phone and skype) in case they get lost, have a problem or anything of that type. The most annoying thing was that I was actually round the corner from my office when I was due to be at the meeting with the client so I could have been there in five minutes had I received a call. So for when you are coming over bear in mind the following. 1) We talk a long time before the visit normally so make sure you have my contact details 2) Confirm your visit a couple of days before arrival just in case and give me details of where you are staying and your phone number in case I need to contact you. Life gets busy over here at times and despite this being the first time I have let a client down in this way in the last five years it is best to be certain. 3) Carry my phone number with you when on your way to any first meeting because I might be delayed for some reason. In Spain it happens although I still have this terrible habit of arriving everywhere on time even after over 20 years in the country. If I am ever going to be late I will be able to message you and give you a time for my arrival.
